Set up can be easily accomplished by driving your vehicle into the indoor loading dock. If you need a forklift, please include that request along with your contract. There may be additional fees for the use of the forklift that you will be responsible for.
Parking is no longer free. Please plan accordingly as you are responsible for paying for your parking.

Final layouts of the exhibit hall have not been completed. Once the layouts are completed the web-site will be updated for you to view.
Booth Description/Requirements
- Each 10' x 10' booth space includes: 8' skirted table, draping, chairs and a booth sign with your company's name.
- All tables must be skirted, draped, and must be within the assigned booth space.
- Each regular booth space is $300; corner booths are $350.00
- Extra tables: $25.00 per table (a maximum of 2 per booth)
- Electric service charge is $100.00 when requested in advance or $125.00 when requested on arrival.
-Telephone service is available at $175.00 per line plus calls.
- Wireless service is provided at $150.00 per connection.
- All vendors must include a current catalog or a detailed description of products or services with the application form.
Assignment of booth space will be made by the Convention Committee. NYS LEAH reserves the right to alter location of vendor booths if in the best interest of the Exhibit Hall.
Extra Tables
Use of your own tables is permitted, provided they are skirted and draped. All tables must fit with in the assigned booth space. All booth prices include one skirted and draped table.
Company Representatives
Each registered company is entitled to free admission for 2 of your representatives per booth space. There is a $25 fee for each representative beyond two per booth who are not already registered for the convention. Children of vendors are admitted to the Exhibit Hall at no charge.
Lunches Available
As a service to our exhibitors, pre-ordered box lunches are available through the concession service of the Rochester Riverside Convention Center. Box lunches include choice of Turkey, Ham, or Roast Beef sandwich, chips, fruit, dessert and soda for $16.00 /person. An Executive Box Lunch containing choice of Smoked Turkey or Roast Beef Wrap, Fruit Salad, Chips, Dessert Pastry, Mineral Water or Soda is available for $17.00 /person. Beverages include Pepsi, Coke, Diet Coke, Sprite and water. Please indicate selection on registration form when ordering lunches.
Vendor Workshops
A limited number of 45 minute vendor workshops are available for exhibitors to discuss and/or demonstrate their products and services, contingent on acceptance by the NYS LEAH Vendor Review Committee. Fee is $75 per workshop. Workshops will be filled on a first-come, first-served basis. Please include a workshop description with the workshop title and speaker with your registration application and include an audio cassette tape of your workshop. If all workshop information is not provided, you will not be considered for a workshop. Workshops will be confirmed with you before the event via e-mail.
Program Listing
Be sure to register by April 30, 2008. You will be listed in the vendor listing with your booth location indicated. You will also be included in the vendor directory, which includes your company name, address, phone, e-mail and web site. Due to print schedules, only those registered by May 1, 2008 will be included.
Hospitality Area
A Hospitality Area stocked with hot coffee and cold water will be available for your convenience.
Shipping Costs
We are again requesting that exhibitors waive any added-in shipping costs for purchases made during the convention.
Taxes
NYS LEAH is responsible to the NYS Tax Department to ensure that all vendors have a certificate to collect sales tax while at our event. Each vendor must provide a copy of their certificate upon arrival. For NYS Tax information, call (800) 225-5829 or on the Web at www.tax.state.ny.us.
Accommodations
You are responsible to make your own lodging arrangements. A listing of hotels is available on this web-site, Hotels to help. Please mention NYS LEAH to obtain reduced rates.

If you plan on making arrangements with a private shipping or storage company, please note that NO deliveries can be made to the Rochester Riverside Convention Center. For advance shipments, we recommend using Century Decorations, (315) 452-1240. Mailing address: 100 Bickford St Rochester, NY 14606 , put show name and inside destination.
